Shipping & Returns

This Shipping & Returns policy explains how Prime Coil & Condensers Pvt. Ltd. (“Prime Coil”, “we”, “us” or “our”) handles dispatch, delivery, and returns for the industrial refrigeration equipment we manufacture and supply. Because our products are engineered to order, shipping and returns work differently from off-the-shelf retail goods — the specific terms for your order are always confirmed in writing in your purchase order or sales contract, and those written terms take precedence over this page.

1. About Our Equipment & Delivery

Prime Coil equipment — ammonia and Freon systems, evaporative condensers, plate ice machines, pressure vessels and heat exchangers — is manufactured to order based on the specifications confirmed in your purchase order. As this is engineered equipment rather than stock inventory, delivery is planned and scheduled individually for each project rather than through standard courier timelines.

2. Dispatch & Delivery Timelines

Manufacturing and dispatch lead times depend on equipment type, capacity, customisation and current production schedule, and are communicated to you at the time of order confirmation. Typical stages include:

  • Order confirmation and engineering finalisation.
  • Fabrication, assembly and in-house quality checks.
  • Dispatch readiness confirmation shared with you before shipment.

We will keep you informed of your order status and notify you promptly of any change to the estimated dispatch date.

3. Freight & Logistics

Freight arrangements are agreed at the time of quotation and may be handled in one of the following ways, as specified in your purchase order:

  • Prime Coil arranges transport to your site through our logistics partners.
  • You arrange collection from our facility in New Delhi.
  • A third-party carrier nominated by you collects the shipment on your behalf.

Freight, insurance and unloading costs are allocated as per the commercial terms in your purchase order (e.g. Ex-Works, FOR destination) and are not included in product pricing unless explicitly stated.

4. Delivery Inspection

Please inspect all equipment at the time of delivery, before the transporter leaves the site:

  • Check the shipment against the packing list and purchase order.
  • Note any visible damage to packaging or equipment on the delivery challan/proof of delivery before signing.
  • Take photographs of any damage or discrepancy immediately.

Signing the delivery document without noting damage may affect our ability to process a transit-damage claim with the carrier.

5. Installation & Commissioning

Depending on your purchase order, installation and commissioning may be carried out by our technicians, an authorised partner, or your own team following our technical documentation. We recommend commissioning be carried out by Prime Coil or an authorised representative to ensure correct setup and to preserve your equipment warranty.

6. Order Changes & Cancellations

Because equipment is manufactured to order:

  • Change requests after order confirmation may affect delivery timelines and cost, and are subject to our engineering and production schedule.
  • Cancellation after production has begun may be subject to charges covering materials procured, work completed and any non-recoverable costs, as specified in your purchase order.
  • Orders may generally be cancelled without charge only before fabrication has commenced, subject to the terms of your specific agreement.

7. Returns

As our equipment is custom-engineered and manufactured to each customer’s specifications, standard “change of mind” returns are not applicable in the way they would be for stock or retail products. Return, repair or replacement of equipment supplied is handled under:

  • The Warranty Policy, for defects in material or workmanship, or
  • The specific return/rejection terms agreed in your purchase order or sales contract, where applicable.

If you believe equipment received does not match the confirmed specification, please contact us promptly with your purchase order details so we can review the matter.

8. Damaged or Incorrect Shipments

If your shipment arrives damaged, incomplete, or does not match your order:

  • Contact us within 48 hours of delivery with your purchase order number, photographs, and a description of the issue.
  • Retain original packaging until the matter is resolved, as this may be required for a transit-damage claim.
  • Our team will coordinate with the carrier and arrange repair, replacement or resolution as appropriate.

9. Spare Parts Returns

Spare parts and accessories ordered separately may be eligible for return if found defective on arrival or incorrectly supplied against your order, provided you notify us within 7 days of receipt with supporting photographs and your invoice reference. Spares that have been installed, used, or are non-standard/custom-fabricated to your specification are not eligible for return.

10. Changes to This Policy

We may update this Shipping & Returns policy from time to time to reflect changes in our logistics processes. The “Last updated” date at the top of this page indicates the most recent revision. Terms for orders already confirmed are governed by the purchase order in place at the time of sale, not by later revisions of this page.
